Process Applications

  • receive and manage applications
  • guide candidates through application processes
  • collect relevant application information
  • assess information against vacancy requirements
  • provide relevant candidate information to the employer or recruiter responsible for the vacancy

Support Candidate Screening

We may use technology, including AI-assisted tools, to help organise, analyse and assess candidate information against the requirements of a vacancy.

Where appropriate, candidate information may be retained within a recruitment talent pool so that the candidate can be considered for relevant future employment opportunities.

Candidate Re-engagement

Candidates may be contacted about future employment opportunities that are reasonably relevant to their experience, interests, location or previous recruitment activity, subject to applicable law and communication preferences.

Candidates can opt out of relevant future communications.

8.

Talent Pools

JobsHype enables employers and recruiters to build recruitment talent pools from candidates generated through recruitment campaigns and recruitment activity.

Talent pools are intended for recruitment purposes.

Candidate information must not be used through JobsHype to create consumer marketing lists or sales databases, or to market unrelated products or services.

Depending on the circumstances, talent pool information may be accessible to the employer or recruiter responsible for the relevant recruitment activity.

Candidates may request that their information is removed where they have the applicable right to do so and may opt out of future recruitment communications.

9.

JobsHype may use WhatsApp and other messaging services to provide conversational recruitment experiences.

  • starting or continuing an application
  • collecting application information
  • asking screening questions

Messages may be processed and stored where necessary to provide the recruitment service, maintain appropriate records, operate the platform, manage communication preferences and protect the security and integrity of our services.

Candidates may be able to stop particular future WhatsApp communications by following the opt-out instructions provided in the relevant message.

Where a candidate has opted out, JobsHype may retain limited suppression information where necessary to ensure that the candidate's communication preference continues to be respected.

10.

AI-Assisted Screening and Automation

JobsHype uses artificial intelligence and automated technologies to support aspects of recruitment and recruitment marketing.

These technologies may assist with:

  • processing application information
  • screening candidates against vacancy requirements
  • organising candidate information
  • identifying potentially relevant skills or experience
  • recruitment decision support
  • campaign content
  • audience analysis
  • reporting
  • recruitment marketing optimisation

AI-assisted screening is intended to support recruitment processes rather than make the employer's final hiring decision.

Employers and recruiters remain responsible for their recruitment and hiring decisions.

Where applicable, individuals may contact us for further information about how their information has been processed using automated technologies.

11.

Our Lawful Bases for Processing

We only process personal information where we have an appropriate lawful basis under applicable data protection law.

Depending on the particular activity, this may include:

Contract

Where processing is necessary to provide a service requested by you or to take steps at your request before entering into a contract.

Legitimate Interests

We may process information where necessary for legitimate interests pursued by JobsHype, an employer, recruiter or another relevant party, provided those interests are not overridden by your rights and interests.

These interests may include:

  • operating recruitment services
  • processing and managing recruitment applications
  • helping employers identify candidates
  • maintaining recruitment talent pools
  • improving and securing our services
  • preventing misuse or fraud
  • operating our business effectively

Consent

We may rely on consent where required or appropriate. Where processing is based on consent, you may withdraw that consent, although this will not affect processing that took place before withdrawal.

Legal Obligation

We may process information where necessary to comply with a legal or regulatory obligation.

The lawful basis applicable to a particular activity may depend on the circumstances and nature of the service being provided.

12.

Special Category Information

Candidates should generally avoid providing information that is not relevant to their application.

Recruitment processes may, however, sometimes involve information considered particularly sensitive under data protection law.

Where JobsHype processes special category personal information, we will only do so where there is an appropriate lawful basis and an applicable condition permitting that processing.

Employers and recruiters using JobsHype are responsible for ensuring that any sensitive information they request from candidates is necessary, appropriate and processed lawfully.

13.

How We Share Candidate Information

Candidate information may be shared with the employer, recruiter or organisation responsible for the relevant employment opportunity.

We may also use trusted service providers to help us operate JobsHype, including providers supporting:

  • cloud hosting
  • messaging and communications
  • WhatsApp services
  • email
  • analytics
  • advertising
  • payment processing
  • security
  • AI and technology functionality
  • other platform infrastructure

Service providers that process personal information on our behalf are required to handle it in accordance with applicable contractual and data protection requirements.

We may also disclose information where required by law, regulation, court order or another lawful requirement.

JobsHype does not sell personal information.

14.

Meta and Recruitment Advertising

JobsHype uses social media and advertising platforms, including Meta platforms such as Facebook and Instagram, to deliver recruitment campaigns.

Where you interact with recruitment advertising, the relevant social media or advertising platform may process information in accordance with its own privacy terms.

JobsHype may receive campaign and interaction information from advertising platforms to measure recruitment campaign performance and improve campaign delivery.

We may use aggregated or anonymised information to analyse recruitment audiences, campaign performance and recruitment trends.

15.

International Data Transfers

Some technology and service providers used to operate JobsHype may process information outside the United Kingdom.

Where personal information is transferred internationally, we will take appropriate steps to ensure that the transfer is made in accordance with applicable data protection law and that appropriate safeguards are used where required.

16.

Data Storage and Security

We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

Measures may include:

  • access controls
  • secure hosting infrastructure
  • encrypted transmission where appropriate
  • account security controls
  • monitoring of systems and services

No online service can guarantee absolute security.

17.

Data Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including to:

  • manage recruitment applications
  • operate recruitment talent pools
  • provide JobsHype services
  • maintain communication preferences and suppression records
  • meet legal, accounting or regulatory obligations
  • prevent misuse
  • resolve disputes
  • maintain appropriate business records

Different categories of information may therefore have different retention periods.

When personal information is no longer required, it may be deleted or anonymised in accordance with our retention practices.

18.

Your Communication Preferences

Candidates can ask us to stop sending particular recruitment communications.

Where an opt-out is received, we may retain limited information on a suppression list to ensure that the communication preference is respected in future.

Opting out of recruitment notifications does not necessarily require us to delete all information where we have another lawful reason to retain it.

The ICO itself gives the example of a recruitment agency retaining details on a suppression list after people object to future job alerts, specifically so they are not contacted again accidentally.

19.

Your Data Protection Rights

Depending on the circumstances and applicable law, you may have the right to:

  • request access to personal information held about you
  • request correction of inaccurate or incomplete information
  • request deletion of your personal information
  • request restriction of processing
  • object to certain processing
  • request transfer of information where the right to data portability applies
  • withdraw consent where processing is based on consent
  • raise concerns about how your information is being processed

These rights are not absolute and may depend on the circumstances and lawful basis for processing.

To exercise your rights, contact:

privacy@jobshype.com

We may need to verify your identity before completing a request.

20.

Right to Object

Where we process personal information on the basis of legitimate interests, you may have the right to object to that processing.

You also have rights in relation to the use of personal information for direct marketing.

You can contact privacy@jobshype.com to exercise these rights.

The ICO says the right to object should be brought clearly and separately to people's attention, so we deliberately retain this as a standalone section rather than burying it in the general rights list.

21.

Complaints

If you have concerns about how JobsHype handles your personal information, please contact us first so that we can investigate your concerns.

You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK's data protection regulator.

  • remember preferences
  • understand website usage
  • analyse traffic
  • measure campaign effectiveness

Where required, non-essential cookies will be used in accordance with applicable consent requirements.

Further information may be provided through our cookie notice or cookie preference controls.

23.

Third-Party Services and Websites

JobsHype may contain links to or integrate with third-party websites, platforms and services.

Third parties may process personal information under their own privacy policies and terms.

JobsHype is not responsible for the privacy practices of independent third-party services.

24.

Changes to This Privacy Policy

We may update this Privacy Policy where our services, technology, legal requirements or processing activities change.

The latest version will be published on the JobsHype website together with the date it was last updated.

Where required, we will bring material changes or new uses of personal information to the attention of affected individuals.
